Cancellation Policies

Wisconsin Union Catering works hard to plan and prepare your event. Although we make good-faith agreements and financial commitments with staff, food vendors, and more, we realize that circumstances occur which may require you to cancel your order.

Although we try to cancel as many of our commitments without penalty, we may be required to charge you a portion or, in some cases, all of your event. The timing of your cancellation has much to do with the final charges.

All cancellations must be received, in writing (e-mail is fine: centralreso@union.wisc.edu ) at the central reservations office, 5 business days prior to your event, to avoid charges

After 5 business days prior to your event, a cancellation will be considered late, and we reserve the right to charge for the entire event. If you need to cancel your event, please contact Grainger Conference Services at 608.262.8679 (as soon as possible) and we will let you know if any late charges will apply.

If you are charged a cancellation fee for a cold food item (sodas, cookies, Danish) we would be happy to prepare this for you on a disposable platter for pick-up from our kitchens with disposable plates and disposable utensils. Any timing of pick-ups other than the date and time of original event may constitute additional charges.

If you decide to cancel your event and you are charged a cancellation fee for hot-food, we would be happy to have this packaged in to-go containers for you for pick-up from our kitchen with disposable plates and disposable utensils. Any timing of pick-ups other than the date and time of original event may constitute additional charges.

You may choose to ‘gift’ your event to someone else. The pick up must be timed with the original event. Any timing of pick-ups other than the date and time of the original event may constitute additional charges. If you choose, we would be happy to donate any left over food to Community Action Coalition to help those in need.

Finally, if you are charged the cost of the entire event, you can still choose to hold the event, in the same time frame and the same location. Any changes in timing or location timing of the event that differ from the original event may constitute additional charges.

Please note that labor assigned to an event is non-refundable and non-transferable. Wisconsin Union Catering retains the right to redirect catering staff as necessary. Additionally, the Wisconsin Union Central Reservations Office retains the right to reassign your reserved space upon cancellation.

Cancellations are a one-time situation, so please be sure of your need to cancel and options. Once we formally cancel an event, attempting to re-book the event will require significant extra charges.
